Salary Review

Salary review - Feature updates and support for hourly salary

  • This update introduces significant enhancements to our Pay module, designed to streamline your salary review cycle and offer greater flexibility in participant management.

    We’ve expanded our support to include hourly salary types for salary reviews, complete with simplified calculations, manual editing capabilities, and seamless HRM synchronization.

  • To help you target the right audience, a new compensation-based participant filter allows you to refine your review pool by specific salary years and rate types.

  • Managing multiple cycles is now more efficient with the Copy Process feature, which lets you duplicate existing reviews—including formulas, schedules, and policies—to save time on setup.

  • We’ve also introduced a “View From Date” setting, giving you precise control over when compensation changes become visible in the HRM system, independent of the effective date.

  • Finally, the participant selection interface has been completely redesigned into a sleek, searchable picker to make filtering your workforce faster and more intuitive.

eSign

eSign - Added support for selecting folders and tags per template

  • We have added the possibility to, in the eSign feature, set which folder an agreement should go to and which tag it should have. You find these settings in the eSign feature, and they are set per template. If you have a folder structure set in the document feature in the system, you can type in any folder name, and the agreement will end up there after signing. If you write a folder name that doesn’t exist in the folder structure, it will create a new folder for the user.

  • We’ve added a new attribute to our OnPrem endpoint: isManager.

Integrations - New restrictions possible

  • It’s now possible implement restricted access at both the employer and Site levels for our API.

General settings - Automated email generation - NEW!

  • Now it’s possible to have the system generate a suggestion for a work email address. As a first step, you need to enable this feature under Global settings → Organization → Other settings.

  • Then you have to set up a pattern for each employer (or only for those needed). This means you can have different domains, for example, for different employers. You can do this in UI and via the employers import.

  • You can also enable "Auto-append number for duplicates" - where the system will add +n number to the generated email if it conflicts with an existing one.

Notification center

Notification center (NEW!) - Customize and handle your notifications in one centralized place

  • In the first version, notifications include all communication related to our on-, off-, and reboarding feature. There are standard templates for all notifications that you can easily adjust. If you do not make any changes, the templates are automatically used in new processes. A log shows all outgoing communication, so you can easily track what was sent and when.

  • We’ve also added new channels for notifications: Slack and Teams. Please reach out to us in order to get this.

  • This is just the beginning. We plan to gradually move all notifications to the Notification Center for even more efficient and stress-free communication.

Salary review - Added the ability to select employment in the manual flow

  • We have added the ability to select which employment of a chosen user should be imported when manually adding them to the process. The salary and data that are synced from HRM will be taken from the selected employment.

Integrations - CSV Export (Incremental) has received improvements

  • We’ve added the possibility to add filtering on “Position type”, “Position”, and “Account Type” in the extra config.

  • Improved sorting on effective date (already sorted on PEN and Org number)

Survey/Pulse/Pace - New disclaimer added to invitation emails

  • Now emails will include the following information: “Please pay attention: This link is unique to you and must not be shared or forwarded to others.”

Onboarding - Users in all account statuses can now be selected in onboarding/reboarding/offboarding

  • We have now added new functionality so that users in Archived, Terminated, Disabled site access statuses can also be selected when creating a new process.

Integrations - Learnster integration updated with removal of tags

  • We have made updates to the integration to perfectly synchronize tags whenever there are updates made in Heartpace to an employee’s employment.

Documents - Update on Upload button logic

  • Folder/file upload buttons should not be displayed in case the user doesn't have access to the visibility inside.

Bug fixes

  • Documents - In the file overview, we have fixed the “sort by” function for tags.

  • An update has been released in order to show the name of the employer(s) rather than the subdomain in Heartpace.

Equal Pay - Added space for decimals in category settings

  • When adding the category settings, there is now clear space for using decimals.

Bugs

  • HRM Reports - When the browser window was too small, some cost control graphs would not display the correct way. This has been adjusted!

  • Salary Review - Fixed an issue where it wasn’t possible to sync the “Salary review year” field back to HRM.

Onboarding

Equal Pay - A new "Pay transparency" tab is added to the feature

  • Possible to enable for new and already created processes

  • We only show levels with roles inside

  • Only roles with at least 2 people inside are shown in the list

  • Possibility to export role report to PDF with details about the date and who is doing the export

  • Possibility to copy the salary band to the clipboard

  • Filters are available (same logic as in other tabs)

Equal Pay - Added search/filtering on Leveling view

  • We have added a search function/filter to the leveling view in Equal Pay.

Equal Pay - HRM → Equal Pay Sync

  • If you are running Heartpace HRM, it’s now possible to sync data directly from HRM to an Equal Pay process. The new option will appear when creating a new process. File import remains intact if you prefer to use that.

Salary review - Sync employee data button logic updated

  • Now, you need to select one or more employees in the playground for the sync button to appear.

Salary review - The Recalculate button in Budget & Calibration is now always displayed

  • Under Budget and calibration > Formula and calibration tab > Custom calibration, you'll now find a new "Recalculate" button. This button ensures all newly added employees are included in calculations and that the entire process updates with the latest data. This guarantees your salary calibration is always current and accurate.

Onboarding - The onboarding portal has received a visual update

  • The design of the onboarding portal has been updated.

Onboarding - Added a new button to be able to move between the application and the onboarding portal

  • If a user has access to both, they can now easily jump to the onboarding portal from the application and vice versa.

Onboarding - Added the possibility to hide the right card with tasks in the onboarding portal

  • Now it’s possible to hide the right card with tasks in the onboarding portal.

Bug fixes

  • Onboarding - Fixed a bug where the standard texts weren’t visible when creating an onboarding email “from scratch”.

  • HRM - Due to a glitch, PEN numbers could be saved with a space in between numbers. This has been resolved.

  • General - We have fixed an issue where admins sometimes still could see irrelevant menu tabs on the left-hand side menu after using the “Log in as user” feature.

General - Salary review processes on the Dashboard for managers

  • We’ve released an update where managers now are shown ongoing Salary review processes in their dashboards.

General - Heartpace is now part of Söderberg & Partners Online

  • We’re happy to announce that Heartpace is now part of S&P Online. That means if you have multiple products from S&P you can now also access Heartpace directly from the S&P portal. Please reach out to us if you want to activate Heartpace in your S&P Online portal.

Integrations - Oneflow + Jobylon flow

  • Heartpace now supports an integration with Oneflow using the Heartpace extension and a template group within Oneflow. We also now support a flow going from Jobylon where you trigger a contract process in Oneflow and then that process can in turn create a user with relevant data in Heartpace.

Recruiter - Email updates

  • Now it’s possible to view all email correspondence with candidates within a job, including emails from your colleagues also working with the same job process. This will make the process clearer and easier to follow.

Accesses - Added limitations to the “eSign creator” role

  • We have added limitations to the eSign Creator role. A eSign creator can only view processes created by itself and the limit decides which users that can be picked up for the process.
