Onboarding: Automated Template & Step Synchronization

We’ve introduced a Sync feature to keep your onboarding step updates consistent across templates and active employee journeys, eliminating manual rework.

What’s new:

  • Library-Level Sync: Editing a step in the Step Templates library now allows you to propagate those changes directly to all connected Process Templates and unstarted Active Processes.

  • Process Template Overrides: When editing a step within a specific Process Template, you can choose to keep the change local or sync it back to the library and other active processes.

  • Smart Eligibility Safeguards: Syncing strictly targets pending steps (not yet sent or started) to ensure completed tasks and ongoing work are never overwritten.

  • Full Transparency & Preview: A new "Apply changes" confirmation dialog breaks down exact changes and provides an expandable list of every affected template and boardee before you confirm.

  • Comprehensive Field Syncing: Propagates changes across step names, content, attachments, multi-language versions, recipients, assignees, deadlines, and reminder settings.

Survey: Smarter Hierarchy-Based Report Sharing

We’ve expanded report sharing capabilities in Survey to ensure managers get the insights they need while strictly preserving respondent anonymity.

What’s new:

  • Flexible Manager Eligibility: You can now share a report with a manager even if they do not meet the minimum response threshold through their direct reports alone—provided their total hierarchy of respondents meets the requirement.

  • Hierarchical Anonymity Safeguards: Sharing rules remain fully anonymous. Managers will only ever see aggregated responses that are permitted based on their exact position in the reporting hierarchy.

  • Direct vs. Hierarchy Toggle: A new Direct / Hierarchy down switcher has been added alongside the filter controls, allowing users to easily toggle between viewing direct team data or the expanded hierarchical scope.

Alignment & OKRs: Site Walling by Employer

For companies running multiple legal entities within a single site, you can now segregate Alignment and OKR data by employer—allowing each entity to maintain its own vision, strategies, and objectives. (Note: This feature is enabled site-wide by the Heartpace team; un-walled sites remain unaffected.)

What’s new:

  • Employer Selector & Custom Views: Users assigned to multiple legal entities can toggle between employers within the Alignment module using a new selector. The system remembers your choice upon return, while single-employer users automatically see their default view.

  • Role-Based Employer Management: A new access control permission allows designated "Alignment Managers" full administrative rights (create, edit, delete across all levels, including vision) strictly for their assigned employer(s).

  • Cross-Employer Manager Visibility: Managers leading team members across different legal entities can now seamlessly track objectives assigned to direct reports in other employers.

  • Smart Department & Strategy Visibility: Departmental objectives and strategies from other employers are only displayed to managers if a direct report’s objective links directly to them—keeping unrelated departments hidden.

  • Strict Employer Data Ownership: Every vision, strategy, objective, activity, and key result is explicitly assigned to a single employer.

  • Focused OKR Access: Employees see public objectives belonging to their own employer, while managers gain additional visibility into all objectives assigned along their reporting lines under the respective employer.

Equal Pay: Global Search in Filter Panel

We’ve improved filtering in the Equal Pay module to help you find categories and values faster.

What’s new:

  • Global Filter Search: A unified search bar has been added to the top of the right-hand filter panel, allowing you to search across all filter categories and values simultaneously.

  • Smart Results Display: To keep results clean and easy to navigate, search queries display up to 5 matching values per category whenever a pattern returns broader results.

Access Controls: Scope Onboarding Managers by Employer & Country

Admins can now restrict Onboarding Manager permissions to specific employers and countries, ensuring managers only view and manage onboarding processes relevant to their region or entity.

What’s new:

  • Employer-Level Access Control: In Global Settings → System access, admins can now restrict Onboarding Manager access by employer—selecting legal entities individually or using bulk filter rules.

  • Country & Site Filtering: Quickly select all relevant employers across an entire region using new Country and Site filters within the employer selection tool.

  • Scoped Visibility Across Onboarding: Restricted Onboarding Managers will only see boardees from their assigned employers across process lists, dashboards, filters, process details, process creation, and deletion actions.

  • Backward Compatible: Unrestricted Onboarding Managers and System Admins retain full organizational access with no default changes to existing workflows.

HRM: Custom Fields for Employers

We’ve expanded custom field capabilities to the employer entity level, giving you more flexibility in managing legal entity data within HRM.

What’s new:

  • Dedicated Custom Fields Tab: A new "Employer's Custom Fields" tab allows you to define and manage custom data fields specifically for employers.

  • Flexible Employer Activation: Enable custom fields for existing employers or set them to be enabled by default for any newly created employers.

General Settings: Hide Admin List in User Support Section

We’ve added a new administrative control to give you more privacy over support contacts shown to end users.

What’s new:

  • Support Team Hidden Option: Enabling the new "Support Team Hidden" option in the Admin Panel hides the designated Admins list under User Settings → Support.

  • Default Setting: This option is disabled by default, keeping your standard support contact display unless toggled on.

Integrations: Dynamic Field Removal in Scrive (eSign)

We’ve improved the Scrive eSign integration to ensure clean, professional document layouts even when employee profile data is incomplete.

What’s new:

  • "Remove if Empty" Column: A new Remove if empty column allows you to automatically exclude specific fields from generated documents if the corresponding HRM profile field is blank and wasn't manually populated during process creation.
