We’ve introduced a new perspective tailored for managers in HRM Reports, ensuring they can easily access relevant data while keeping sensitive administrative information secure.
Key Updates:
Smart Perspective Switcher: Admins will see a new Admin/Manager toggle in the report tabs to quickly switch between views. Managers will automatically land in the Manager perspective (the toggle is hidden for them).
Hierarchy-Aware Data Scope: In the Manager perspective, users can only access reporting data for their direct reports and all subordinates further down their reporting lines.
Role-Based Security & Restrictions:
Change Logs: Completely hidden and restricted in the Manager perspective.
Sharing: The "Share" action is disabled for all manager reports.
Fields & Filters: Dropdowns and available fields are automatically filtered based on the manager's system permissions (or employee page system access, applying whichever access level is higher).
Clarity in Workspace: Manager reports are explicitly labeled as "Manager report" within the tool and when added to Favorites.
Timeline Visibility: A manager's ability to see future or historical records is strictly governed by the configuration toggles linked to HRM block data.
We’ve upgraded the main filters in the Equal Pay / Pay Analysis module to help you find and segment data faster.
What’s new:
New Employee Filter Category: You can now filter pay analysis data using the new Employees category.
Filter Search Bars: Every top-level filter menu now includes a search bar, making it easier to quickly locate specific values without scrolling through long lists.
We’ve updated the Work Evaluation interface in the Equal Pay module for better clarity and visibility.
What’s new:
Expanded Default Categories: The Work Evaluation view now displays all 7 categories by default (increased from 5), pre-populated with the default percentage split.
Full Text Visibility: Column titles no longer cut off with ellipses ("…") when space is tight. Longer titles now wrap cleanly onto a second line so you can read full category names at a glance.
The redesigned Org Chart is now available across all accounts. It is accessible in the main menu as Org Chart (New) alongside the current org chart, giving your organization time to transition smoothly.

Role-Based Perspectives & Field Visibility: Field access is now strictly governed by three distinct perspectives:
Admin: Displays all configured fields across the Entire Organization view.
Manager: Shows fields permitted for managers and employees and is automatically applied to Admins when viewing the My Team tab.

Enhanced Visual Legend & Statuses: Features a redesigned legend.

Equal Pay - Possibility to manually add employees to a process
You can now manually add employees directly to the equal pay process. Additionally, you can easily update supported fields at any time by clicking the three-dot menu (...) and selecting Edit.
Equal Pay - Pay transparency report export
An “Export to Excel” button has been added to the Pay transparency tab with the possibility to export only levels, only roles, or both.
Global Settings - Pop-up replaced with in-page
We’ve improved the user experience by integrating Global Settings directly into the page, replacing the old pop-up window. This makes managing your settings smoother and more intuitive.
HRM - New PIN formatting feature
To make data migrations and payroll exports smoother, you can now enforce specific formats for Swedish Personal Identity Numbers at the company level.
Customizable Formats: Choose which PIN format(s) your company accepts: YYMMDD-XXXX, YYMMDDXXXX, YYYYMMDD-XXXX, or YYYYMMDDXXXX.
Where to find it: Go to Global Settings → Features → HRM → HRM Fields and click the new Edit action on the Personal ID Number field to select your preferred format in the right-side drawer.
Strict Validation: Once saved, the system will validate all new entries and HRM imports against your chosen format, rejecting any non-matching inputs.
Note: Updating this setting will not alter your existing PIN data, and your configuration will persist safely across sessions.
Equal Pay - Updated Action pop-up
We’ve optimized the Actions pop-up in the Equal Pay module to make managing wage deviations faster and more intuitive. What’s new:
Logical Tab Order: The tabs in the Action pop-up have been reordered to better match your actual workflow: Explanation → Continue Investigation → Action Plan (previously Action Plan came first).
Multiple Deviation Reasons: The Explanation action has been upgraded from a single-select dropdown to a multiselect field. You can now select and log multiple deviation reasons within a single action.

Integrations - AD OnPrem endpoint filtering
We have refined the processing logic for our OnPrem endpoint to ensure higher data relevance and efficiency. System events will now only be triggered and sent if the update made to an employee record involves a field specifically included in the endpoint configuration.
Additionally, we have implemented specific status-based filters for these events:
Active Users (Statuses 0-2): Events will proceed for users in Not activated, Active, or Disabled site access statuses when a relevant data point is updated.
Inactive Users (Statuses 3-4): For accounts in Terminated or Archived status, the system will only process the event if it pertains specifically to the account termination.
Reactivations: The system will now correctly capture and send an event if an account is moved from statuses 3-4 back into an active state (reactivated).
These adjustments are designed to minimize unnecessary data traffic and ensure that integrations only react to changes that are pertinent to your external systems.
Equal Pay - Equivalent & Equal Jobs tab updated
Information about employment duration is now shown in the Equivalent & Equal Jobs tab. The values for age and employment duration depend on the selected Median/Average filter.
Equal Pay - Bulk deletion
Added the possibility to bulk delete employees from the process.
Equal Pay - Table Configurations
We have introduced the ability to fully manage visible fields and layout positioning across different views within the feature. This update gives you granular control over how data is organized:
Tailored Views: You can now enable, disable, and rearrange the position of individual data fields within both the Employee tab and the Table with individuals.
Independent Configurations: Layout parameters and field positions are saved for each table separately, ensuring your view settings remain intact.
Process-Specific Layouts: To better support varying workflows, each individual process can now maintain its own custom list and ordering of active fields.
Equal Pay - Pay transparency report
You can now export detailed reports directly from the Pay Transparency tab in either PDF or Word format. This new reporting tool offers greater customization to fit your documentation needs:
Flexible Criteria: Select at least one checkbox to define what information is included in the export.
Targeted Comparisons: Choose a specific user from a role to compare against directly within the report.
Custom Descriptions: You can update the report description prior to exporting.
Dynamic Content: The active Median/Average toggle filter on your view will automatically apply to and format the exported data.

Salary Review

Salary review - New single-select and multi-select columns
Now it’s possible to create custom columns with single-select and multi-select options. It’s also possible to make these field types required for a reviewer to fill in.
Equal Pay - Regenerate report button moved
The button to regenerate the report was previously found within the graphic settings, but has now been moved to “General”.
Bug fixes
Salary review - Fixed an issue where secondary employments were not imported to a process after selecting “any” employment in the setup.
Onboarding: We’ve resolved an issue that prevented searching for an employee by last name in the onboarding feature.
Pulse - Some users noticed that when selecting a one-time process, the round duration field turned out empty. This has been corrected!

Our Equal Pay feature has received an updated UI.
Integrations - AD OnPrem integration support filters
Our AD OnPrem integration now supports filters on Position type, Position, and Account status.
HRM - Use of decimals in numeric input fields
In Swedish localization, it’s now possible to use a comma instead of a dot when adding numeric values with decimals.
Dashboard - Onboarding tasks in To Do list
Now we’ve added support for displaying On-, Off-, and Reboarding tasks in the To Do list. You don’t need to configure anything; they will just appear there for relevant users.
App - Heartpace HR is now available as a mobile app!
Now you can use Heartpace HR directly on your mobile. Whether you are an HR manager, manager, or employee, Heartpace HR gives you direct access to the tools you need to stay connected, informed, and productive wherever you are. Download via App Store or Google Play.
Bug fixes:
HRM - Fixed an issue where it wasn’t possible to create 0 as a value in custom fields under HRM field settings.
Onboarding - We had an issue where it wasn’t possible to change the trigger date to an earlier date in the future. That has been corrected.

Salary review - Feature updates and support for hourly salary
This update introduces significant enhancements to our Pay module, designed to streamline your salary review cycle and offer greater flexibility in participant management.
We’ve expanded our support to include hourly salary types for salary reviews, complete with simplified calculations, manual editing capabilities, and seamless HRM synchronization.
To help you target the right audience, a new compensation-based participant filter allows you to refine your review pool by specific salary years and rate types.
Managing multiple cycles is now more efficient with the Copy Process feature, which lets you duplicate existing reviews—including formulas, schedules, and policies—to save time on setup.
We’ve also introduced a “View From Date” setting, giving you precise control over when compensation changes become visible in the HRM system, independent of the effective date.
Finally, the participant selection interface has been completely redesigned into a sleek, searchable picker to make filtering your workforce faster and more intuitive.

eSign

eSign - Added support for selecting folders and tags per template
We have added the possibility to, in the eSign feature, set which folder an agreement should go to and which tag it should have. You find these settings in the eSign feature, and they are set per template. If you have a folder structure set in the document feature in the system, you can type in any folder name, and the agreement will end up there after signing. If you write a folder name that doesn’t exist in the folder structure, it will create a new folder for the user.

General settings - Automated email generation - NEW!
Now it’s possible to have the system generate a suggestion for a work email address. As a first step, you need to enable this feature under Global settings → Organization → Other settings.
Then you have to set up a pattern for each employer (or only for those needed). This means you can have different domains, for example, for different employers. You can do this in UI and via the employers import.
You can also enable "Auto-append number for duplicates" - where the system will add +n number to the generated email if it conflicts with an existing one.
